PVPV Rawlings PTO

 

President

  1. Attend all PTO-sponsored events
  2. Be available to talk to parents and discuss concerns
  3. Plan the calendar to be approved by the Principal and committee chairs during the summer
  4. Welcome staff back to school at the PTO-sponsored luncheon prior
  5. Prepare PTO welcome/information packet that is distributed at Meet the Teacher and work with Volunteer Coordinators to plan Meet the Teacher
  6. Be the point of contact for the Principal and School Staff regarding any issues or needs that arise during the school year
  7. Meet the Principal regularly or as needed to share information on current events/problems involving the school.  Provide/receive guidance to/from principal as to what issues might need addressing within the parent body.
  8. Preside over monthly Executive Board Meetings
  9. Contact on a regular basis with board and committee chairs.  Work with chairs and board to coordinate all events and activities including, but not limited to:  Welcome Back Luncheon for staff, Meet the Teacher, Kindergarten/New Parent Coffee/event, PTO Meetings, Committee Chair Training, Open House, Room Parents Meeting, Turtle Trot, Character Counts Breakfasts, Book Fair(s), Community Outreach, Campus Clean Up, Spring Fundraiser, Staff Appreciation, 5th Grade Talent Show, and other events as they arise.  
  10. All written materials produced by PTO (i.e., newsletters, flyers, website postings or notices) are to be cleared with the PTO President, school Principal and Community Partnership Liaison prior to publishing.  The principal is responsible for the accuracy of school information.  Coordinate with Internal Communications and sent out monthly reminders for article submissions for the Wave and The Current.  Work with the Webmaster to keep the site current.
  11. Recruit committee chairs and board members for the following year
  12. Oversee and approve PTO budget and expenditures with the Treasurer(s)
  13. Work with Treasurer(s) to make sure bank account balances are appropriate
  14. Work with Nomination Committee to help find replacement for self and other board position
  15. Update Bylaws prior to end of term

 

Vice President

  1. The Vice President supports the President in strategic and tactical planning, managing the affairs of the PTO and representing the PTO at all local events and district events where necessary
  2. The Vice President shall act as aid to the President and shall perform the duties of the President in the absence or inability of that officer to serve
  3. The Vice President should be the liaison to the board for all fundraising events
  4. Assist with Back to School Luncheon for the teachers
  5. Welcome staff back to school at the PTO-sponsored luncheon prior to Meet the Teacher
  6. Assist President to prepare PTO welcome/info packet distributed at Meet the Teacher

 

Treasurer (2) 2 year term

The treasurers help develop a budget, collect fundraising money, write checks for purchase and reimbursements, track all income and spending, make financial reports at meetings and prepare the books for periodic audits.  The Treasurers are the officer liaisons for any fundraising committee chairs.

 

Monthly Tasks:

  1. Create monthly PTO Treasurer Report
  2. Reconcile the checkbook
  3. Write checks as needed
  4. Work together to jointly collect funds from PTO safes and lock boxes, record and deposit monies in a timely fashion, as needed

Annual Tasks:

  1. Renew Insurance May 1 (expires June 1)
  2. Present the budget for approval at the September PTO meeting
  3. File Form 990/990Z, the annual IRS return required for 501(C)(3)s
  4. Renew our incorporation with the state (see below)
  5. Annual list of officers with hours

 

Communications

  1. Responsible for taking minutes at general and executive board meetings and distributing the minutes via email
  2. Listen carefully to distinguish between idle conversation and PTO business at meetings
  3. Send weekly Current to PTO membership
  4. Send e-blasts as needed
  5. Send reminder emails to Board Members and Committee Chairs for Wave deadlines and or meeting times
  6. Wave submissions - ensure that timely submission are made for school distribution

 

Webmaster

  1. Maintain website so that it remains current
  2. Update calendar, events and activities as needed
  3. Manage PTO Facebook page and Instagram Page- post 5 times weekly 
  4. Work with Board to ensure current information is displayed
  5. Assist with updating and creating PTO Members and PTO Volunteer lists
  6. Assist with WuFoo and or other web-based collection site and Turtle Trot processes

 

Hospitality (2)

  1. Responsible for making everyone that interacts with the PTO feel welcome
  2. The official “greeter” at events
  3. Coordinate and or assist with hospitality activities, including new parent coffee, general meetings
  4. Plan Back to School luncheon for teachers and end of year Volunteer Appreciation event with the input of the president
  5. Responsible for purchasing and mailing all thank you, get well, sympathy and birthday cards for Staff, Community Partners, and PTO Board Members and for sending flowers or gifts approved by the PTO Board in the event of birth, wedding or death

 

Membership

  1. Gather membership information and donations
  2. Track membership information and donations in the data system
  3. Communicate “thanks for joining” to members when joining
  4. Distribute magnets to all members, annually
  5. Compile membership information for wild apricot database
  6. Update bulletin boards in both buildings -- encourage PTO awareness and update events
  7. Ensure advertising for PTO in annual school yearbook

 

Volunteer Coordinator (2)

  1. Planning, staffing, organizing and preparing for Meet the Teacher
  2. Responsible for staffing, organizing and directing the volunteer programs associated with both PTO events and certain classroom activities
  3. Providing sign up lists for all PTO and classroom Volunteer assignments
  4. Coordinating and running the Room Parent meeting in August
  5. Serving as the liaison between PTO and Room Parents
  6. Serve as the liaison between PTO and the Teachers



Community Partnership Liaison

  1. Maintain Communication with Partners and provide monthly updates to the PTO Board
  2. Distribute and collect contracts and payments.  Provide receipts to partners for their records
  3. Assist partners in preparation for Meet the Teacher, Turtle Trot, Spring Carnival, Book Fair, Kid of Character, and other events they may be participating in
  4. Assist internal communications with weekly partner section of The Current
  5. Work directly with Event Chairs to insure proper marketing and branding
  6. Attend monthly Kid of Character breakfasts
  7. Ensure banners and other forms of “advertising” look appropriate and are “freshly displayed”

 

Past President (if applicable)

  1. Serves as parliamentarian
  2. Serves as advisor to the president, officers, and board members
  3. Reviews bylaws and recommend amendments as needed
  4. Performs other duties as needed
